- All Sahayogi products: Office Sahayogi, BoSS, Sahayogi Cloud, Chat with Sahayogi, Sahayogi AI, Tax Sahayogi, My Sahayogi, and Studio Sahayogi
- Any communication between you and Sahayogi One Private Limited via email, phone, or any other channel

- Postal address (for clients and registered users)
Collected when: You contact us via email or phone, register for a product, begin an Office Sahayogi engagement, or subscribe to any Sahayogi service.
3.2 Business and Operational Data
- Business financial data (accounts, invoices, receipts, payables, receivables)
- Employee and payroll data (via BoSS People & Payroll module)
- Inventory records
- Customer and vendor data entered into BoSS
- Compliance and regulatory records
- Business correspondence and documentation
Collected when: You use BoSS, Office Sahayogi, or any operational product.
3.3 Financial and Tax Data
- Income details and tax returns
- GST registration and filing data
- Investment portfolio information (via My Sahayogi)
- Bank account details (only as required for specific product functionality)
- PAN and Aadhaar-linked data (only where legally required)
Collected when: You use Tax Sahayogi, My Sahayogi, or provide financial information for Office Sahayogi engagements.
3.4 Communication Data
- WhatsApp Business messages processed through Chat with Sahayogi
- Email correspondence with Sahayogi
- Chat and support records
Collected when: You communicate with us or use the Chat with Sahayogi product. WhatsApp data is processed subject to Meta’s WhatsApp Business API terms.
3.5 Technical and Usage Data
- IP address and device information
- Browser type and version
- Pages visited on sahayogi.in and subdomains
- Session duration and navigation data
- Login timestamps and access logs
- Sahayogi AI query data (prompts and responses)
Collected when: You visit our website, use any web-based product, or sign in to Sahayogi AI.
3.6 Creative and Content Data
- Creative assets, designs, and brand materials uploaded to Studio Sahayogi
- Campaign briefs and content workflows
- Brand asset library contents
Collected when: You use Studio Sahayogi.
3.7 Cloud and Infrastructure Data
- Files and software data hosted via Sahayogi Cloud (Tally on Cloud, Busy on Cloud, VPS, Dedicated Servers)
- Microsoft 365 data accessed via Sahayogi Cloud services
- Digital signature certificate data
Collected when: You use Sahayogi Cloud infrastructure services.
4. Why We Collect Your Data — Lawful Basis and Purposes
We collect and process personal data only for specific, lawful purposes. Under the DPDP Act, 2023, we rely on the following bases for processing:
4.1 To Provide Our Services (Contractual Necessity)
- Setting up and managing your account on any Sahayogi product
- Delivering Office Sahayogi consulting engagements and Business Health Checks
- Providing BoSS platform access and data management
- Hosting your data via Sahayogi Cloud
- Processing business communications via Chat with Sahayogi
- Providing Tax Sahayogi query resolution, notice drafting, and filing assistance
- Generating AI-powered insights via Sahayogi AI from your connected product data
- Managing personal finance data in My Sahayogi
- Managing creative workflows in Studio Sahayogi
4.2 To Comply with Legal Obligations (Legal Compliance)
- Compliance with the DPDP Act, 2023
- Compliance with applicable tax, GST, and company law obligations
- Responding to lawful requests from government authorities
- Maintaining records required under Indian law
4.3 For Legitimate Business Interests
- Improving product functionality based on usage patterns

We do not sell your personal data to third parties. We do not share your data for advertising purposes.
6. Data Storage and Security
6.1 Where Your Data Is Stored
Sahayogi stores personal data on cloud infrastructure located in India wherever possible, in compliance with the Digital Personal Data Protection Act, 2023. Where data is processed or stored outside India (for example, through international cloud providers), we ensure appropriate safeguards are in place.
6.2 How We Protect Your Data
Sahayogi implements security measures aligned with ISO 27001 principles (note: Sahayogi is not currently ISO 27001 certified) to protect personal data against unauthorised access, disclosure, alteration, or destruction. These measures include:
- End-to-end encryption for data in transit (TLS/HTTPS across all products)
- Encryption of data at rest where technically feasible
- Role-based access controls — data accessible only to authorised personnel
- Access logging and monitoring for all production systems
- Regular security reviews of infrastructure and product architecture
- Employee data handling training and confidentiality obligations
No method of electronic storage or transmission is 100% secure. While we take all reasonable steps to protect your data, we cannot guarantee absolute security.
6.3 How Long We Keep Your Data
We retain personal data for as long as necessary to provide our services, comply with legal obligations, and resolve disputes. Retention periods vary by data type:

When data is no longer required, it is deleted or anonymised in a manner that prevents identification.
8. Your Rights Under the DPDP Act, 2023
Under the Digital Personal Data Protection Act, 2023, you have the following rights as a Data Principal:
8.1 Right to Information
You have the right to know what personal data we hold about you, the purposes for which it is processed, and the identity of any third parties with whom it has been shared.
8.2 Right of Access
You have the right to request a copy of the personal data we hold about you.
8.3 Right to Correction
You have the right to request correction of inaccurate or incomplete personal data we hold about you.
8.4 Right to Erasure
You have the right to request deletion of your personal data where it is no longer necessary for the purposes for which it was collected, where you withdraw consent (for consent-based processing), or where processing was unlawful. This right is subject to our legal retention obligations.
8.5 Right to Withdraw Consent
Where we process your data on the basis of consent, you have the right to withdraw that consent at any time. Withdrawal of consent does not affect the lawfulness of processing before the withdrawal.
8.6 Right to Grievance Redressal
You have the right to have grievances regarding your personal data addressed by us promptly and effectively.
8.7 Right to Nominate
You may nominate another individual to exercise your data rights on your behalf in the event of your death or incapacity.

9. GDPR Alignment — For International Users
While Sahayogi One Private Limited is an Indian entity primarily governed by the DPDP Act, 2023, we align our data practices with the EU General Data Protection Regulation (GDPR) principles where applicable. This includes:
- Processing data only for specified, explicit, and legitimate purposes
- Collecting only the minimum data necessary for each purpose (data minimisation)
- Maintaining data accuracy and keeping records updated
- Applying appropriate technical and organisational security measures
- Respecting data subject rights substantially equivalent to those listed in Section 8
Sahayogi is not currently EU GDPR certified. If you are based in the European Economic Area and have concerns about how your data is handled, write to us at info@sahayogi.in.
10. Children’s Data
Sahayogi products are not directed at children under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided personal data to us, please contact us at info@sahayogi.in and we will delete the relevant data promptly.
Under the DPDP Act, 2023, processing of children’s personal data requires verifiable parental consent. We do not process children’s personal data without such consent.
11. Third-Party Links
sahayogi.in and Sahayogi products may contain links to external websites, including the dedicated product websites (officesahayogi.com, boss.officesahayogi.com, sahayogicloud.com, taxsahayogi.in, investorsahayogi.in). This Privacy Policy applies only to sahayogi.in and products directly operated by Sahayogi One Private Limited.
We are not responsible for the privacy practices of third-party websites. We encourage you to review the privacy policies of any external sites you visit.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our products, services, legal obligations, or data practices. The date at the top of this page reflects the most recent update.
For material changes that affect how we use your personal data, we will notify you by email (if you are a registered user) and by a notice on sahayogi.in at least 14 days before the changes take effect. Continued use of our products after notification constitutes acceptance of the updated Policy.
